Volumes menu
The Volumes palette appears at the top of the screen and provides an alternative method to the volumes menu when it is necessary to move to another volume. Volumes not purchased or to which user access is denied do not appear.
Hold down both the <Command> and <Control> keys to drag the bar around the screen (Macintosh only).
Use the ‘Volumes Palette’ item on the Volumes menu to open and close the palette.
The full version of the palette:
The left-hand button with the question mark icon brings up an ‘About Enterprise 6…’ screen showing contact numbers and the version of Enterprise 6 that you are using. Click anywhere in this screen to put it away.
Reading from left to right, the remaining buttons launch the following volumes respectively: Diary Manager, Word Processing, Stock Control, Sales Order Processing, Purchase Order Processing, Sales Ledger, Purchase Ledger, General Ledger, Service Control, Job Costing, Agency Manager and Data Manager. The colour of each button reflects the predominant colour of the layouts used by the volume to which the button refers.
If the mouse is held over a button for a short time, a help message appears indicating which volume is represented by that button.
The General Preference, Palette Help Delay, can be used control the time gap between moving the mouse over a button and the appearance of the help message.
The button representing the volume last selected appears depressed. The left-hand element of the palette is in fact a button whose text provides a reminder of the current volume and changes colour appropriately. It goes grey when a function is selected. This button can be used at any time to bring the current Volume Menus to front, or double-clicked to bring up the Enterprise 6 screen saver.
Two versions of the Volumes Palette are available, that showing icons and that showing symbols.
A global setting controlling the appearance of the palette appears on the General page of Preferences. This can be overidden on local machines using the ‘Volume Icons’ item on the File menu.
The Volumes currently available, together with brief notes of the facilities they offer, are listed below.
The Data Manager is where most of the set ups are carried out and where the Preferences are set. The Accounts structure is set up here, and most of the data entry for minor files (such as Counties, Countries, Business Types and Sources) is also carried out here.
Diary Manager (Command-1 or Control-1)
This Volume controls access to Company, Contact, Product and Diary information, and allows the handling of enquiries (if the EnquiryWriter companion volume has been purchased). This is where you start, and where non-accounts personnel will most often be: Sales and Telesales people, for example, would rarely need functions available elsewhere.
Word Processing (Command-2 or Control-2)
This option is available if you have the Enterprise 6 Word Processor, based on 4D Write. It controls access to the mailing facilities within Enterprise 6. These facilities include the production of letters, quotations, mailshots, statements, etc.
Stock Control (Command-3 or Control-3)
The Stock Control menu is available if you are using the Manager password levels, and if the Stock Control volume is installed. It operates Stock Control in the database, and also allows access to the list of Products.
Enterprise 6 Stock Control manages stock levels, integrates with Purchase Order Processing for the receipt of goods, and the Purchase Ledger for the generation of Purchase Invoices. The system also offers a highly flexible ‘stock movements’ system, which allows an unlimited range of pre-defined stock movement types - including repairs control, or rentals management.
Enterprise 6 Stock Control also offers an unlimited number of locations in an unlimited number of warehouses and, if the Serial Number Tracking companion volume is present, sophisticated serial number tracking from Order to Delivery and beyond.
Sales Orders (Command-4 or Control-4)
Sales Orders, listings and forecasting are carried out from Enterprise 6 SOP. Sales Order Processing integrates with the Diary Manager and EnquiryWriter companion volume on one hand - to allow the entry of orders onto the system - and with Purchase Order Processing on the other.
Purchase Orders (Command-5 or Control-5)
Enterprise 6 Purchase Order Processing (POP) integrates with the SOP volume to make purchase recommendations, generate Purchase Orders to an potentially unlimited range of suppliers, and integrates with Stock Control for pre-allocation of ordered stock, and management of back orders.
Sales Ledger (Command-6 or Control-6)
This is available if you are using the Manager password level and the Sales Ledger Volume is installed. It controls Order Invoicing, Ad-hoc Invoicing and the Sales Ledger, and also allows access to the list of Products. Enterprise 6 Sales Ledger integrates with numerous volumes, including Events Manager, Service Control, and the Word Processor.
Purchase Ledger (Command-7 or Control-7)
Purchase Ledger is available if you are using the Manager password level, and if the Purchase Ledger Volume is installed. This volume controls Purchase Ledger functions, integrates with Purchase Order Processing and Stock Control, and also allows access to the list of Products.
General Ledger (Command-8 or Control-8)
The General Ledger is available if you are using the Manager or Accounts password levels, and the General Ledger Volume is installed. It controls General (or Nominal) Ledger functions, including Budgeting, Bank Reconciliation and Reporting through Trial Balance, Profit & Loss, and Balance Sheet.
All reports are available on an Open Item basis, and the system provides flexible reporting across a range of periods, a range of departmental analyses, and across multiple currencies (if the Multi-currency companion volume is present). Additionally, if the Multi-layer Accounting companion volume is present, a Enterprise 6 user has the capability to create and run several completely independent charts of accounts simultaneously using a single data file.
Service Control (Command-9 or Control-9)
This Menu is available if you have the Enterprise 6 Service Control volume installed, and will be displayed automatically if the Service password level is chosen. It controls the entry of customer Service Contracts, and records the details and costs of all Service Calls received, with integration to Sales Ledger, Order Processing, Diary Manager, and Stock Control, for the management of spares and items for repair.
Job Costing
If purchased, this volume gives you a Job Costing facility, including the creation of projects with multiple stages, budgeting, the recording of time against numerous concurrent projects, and project billing - fully integrated with Sales Ledger, Purchase Ledger, and Order Processing functions.
Agency Booking
The Agency Booking volume is a specialist volume designed for Recruitment Agencies, allowing the matching of candidates (applicants) and their skills against potential temporary or permanent positions. Integrated with Sales Ledger and Order Processing functions.
Events Manager
Offers facilities for the booking of conferences, seminars, training courses, and other events, including charges and other logistical information (through integration with Diary). Confirmation letters, invoicing, Delegate Lists, and other reports are provided.
Communications Manager
This volume includes the Internet Manager
Data Manager
This volume controls the configuration options for Enterprise 6 and is discussed elsewhere.
