The data file and the business templates

Enterprise 6 is supplied with one data file, entitled Tutorial.data, and several Business Templates for importing into a new data file. These are provided to help you when creating your live data file. Tutorial.data is intended for use in combination with the Tutorial manual and contains the appropriate data to facilitate this. Once you have created a blank data file and imported a Business Template, it will, apart from the variations introduced by the Template, be identical to Tutorial.data in the Data Manager set-up. Each Data Manager file contains a suggested set up which can be used or discarded as required. To discard the supplied set ups, select the appropriate function in the Data Manager. This will list all the records in the file. Use the key combination <Command-A> (Macintosh) or (Windows) to select all the records in the list and click the [Delete] button.

This appendix lists the information supplied and contains further information to aid the effective setting up of a clean data file.

The Report and Group Headings are used for formatting the reports - please refer to the Accounts Headings section for more information. Accounts headings

A basic set of Account Headings is supplied with Enterprise 6. These are used for structuring accounts reports. Basic headings for levels below level 1 have been supplied but these should be modified to be specific to your business. For example, sub-headings to P1 Sales (P1A to P1D are supplied) would represent the different types of products sold. When Enterprise 6 is first used, the Period containing the current date will be opened automatically. Transaction types All Transaction Types have an Analysis Code of ‘A’, a Layer Code of ‘A’ and a Currency of £. Eight Transaction Types (PINV, PP, PPRE, PPRR, RDEP, RDER, RINV and RIP) are set up so that they cannot be used directly in the General Ledger. They are the Transaction Types representing Sales and Purchase Invoices and their Receipts and Payments and should only be used in their respective Ledgers and posted in to the General Ledger from there. Documents

In the Word Processing volume, Enterprise 6 is supplied with two templates and three sample documents. The templates are usable only with 4D Write, but the sample documents are supplied in both 4D Write and non-4D Write versions. The sample Documents supplied are three debt-chasing letters, with the Document Codes of DEBT1, DEBT2 and DEBT3. The two templates supplied are entitled ‘Letter Template’ and ‘Quote Template’. They are separate files and must be stored in the same desktop folder as the Enterprise 6 structure file. The ‘Letter Template’ is used by the ‘Enter Letters’ and ‘Enter Documents’ functions, while the ‘Quote Template’ is used by ‘Enter Quotations’. Both templates feature Enterprise 6 variables and text placeholders. The Enterprise 6 variables can be moved or deleted, but if alternative variables are to be inserted, this must be done using the ‘Insert 4D Expression…’ function on the Word Processor’s Database menu. The text placeholders are used to indicate where text should be typed in the documents and can simply be overwritten. The Word Processing Reference chapter contains details of many of the Enterprise 6 variables that can be included in letters. Below are listed some further variables, mainly taking their information from the Preferences screen, which will be useful, especially in the basic design of the letterhead. The ◊ character is obtained using the key combination on the Macintosh. On Windows machines, the 2/3 symbol is used in place of ◊ and can be obtained by holding down the <Alt> key while typing “0190”. Note that in these manuals, ◊ has been used in all interprocess variables for reasons of clarity. If you are a Windows user, remember to substitute the 2/3 character where appropriate.
