View contacts (command-/ or control-/)

On selecting ‘View contacts’ or clicking the [View contacts] button in the Functions Palette you are presented with a box asking for the ‘Surname, Forename, code or company’ to find.

If you want to quickly look up someone by name, type in the Forename, or perhaps the first few letters of the surname, or type in the contact code and press [Find].

This dialogue box will search on the following fields (listed in order of search): Surname, Forename, Forename/Surname, contact code, contact’s company code, company name/Also Known As, Postcode and Telephone number .

To bring up more comprehensive searching options, simply press [More Choices] (or press <Command-M>/). If you do the latter above, you are shown a window requesting the Criteria by which you wish to find the contact(s) to view or modify.

These Criteria match the information that was entered to the contacts file, and are best explained by example:

  1. To select a specific, single contact you would probably want to enter both Forename and Surname, or better, part of both, then Click [Find].
  2. \To select all contacts known for a specific company, enter all or part of the company name or company code.
  3. To select all contacts whose title is either Miss or Mrs, enter “Miss” to the Title, select ‘Or’ from the Functions menu, then enter “Mrs” to the Title. Finally, click [Find]. Simply pressing [Find] (or using the <Enter> Key) without entering any criteria will select all the contacts in the database. Once the selection has been made, one of two things will happen:
  4. If a single contact was found, and the View Always shows Lists check box in Preferences is switched off, that contact’s details will be displayed in full. See ‘Enter contacts’ above for details of this screen. Pressing [√] will confirm any modifications you make.
  5. If more than one contact was found by the Criteria entered, or a single contact was found and the View Always shows Lists check box in Preferences is switched on, those found will be displayed as a list. You may scroll forwards or backwards through this list using the vertical scroll bar, and to the left and right using the horizontal scroll bar.
