Reports

The follwing reports are available from the Companies menu.

List companies

This menu option prints a report of all details of selected companies.

It operates identically to View companies above for the selection process. When companies have been selected, they are listed to screen. You can manipulate the data using the Buttons Palette, sorting, selecting and possibly even searching again. Once the list is to your satisfaction, click [√] to continue. Because this is a List function, clicking [√] means you have accepted the selection and are now ready to print it.

You are then asked which format of list you would like from a choice of three radio buttons: Full page (one company per A4 page), Up to 8 per page, or Small text on its side. The latter will print about 30 in very small letters only suitable for a laser printer. You will then be shown the ‘Print Settings’. At this stage you may Cancel the Printing, or continue by clicking [√].

Prospects report

This report gives details of selected Prospects - potential clients for your business.

The companies are sorted by Sales person, type and Entry date, with a new page appearing for each Sales person allocated some leads. It prints out name, contact, Telephone, Status, type and Source, and shows when the firm was last contacted and what the enquiry was about. Note that the latter item depends on diary Items having been entered using an Action code starting with EN for Enquiry.

The report operates identically to ‘View companies’ for the selection of companies by flexible criteria. You might, for example, be selecting all companies with Status L - Lead entered this week. Once the list of companies is to your satisfaction, accept it by clicking [√] to move on to the printing stage. You will be shown the ‘Print Settings’; note these will be preset to Landscape format. At this stage you may Cancel the Printing, or continue by pressing [OK].

Development report

This report shows the length in days that selected companies take to be ‘developed’ through up to four chosen diary Action stages.

The report operates identically to ‘View companies’ for the selection of companies by flexible criteria, and a list is displayed for ad hoc selection. Once the list is to your satisfaction, accept it by clicking [√] to move on to the printing stage. You are then asked to select the diary Actions for the report, one at a time from a list presented to you.

A typical sequence might be CS - Sales Call, TAPS - Sales Appointment, MQTN - Quotation Sent and SALE - Sale Made. Click [√] to select each one. Finally, you are asked to state the date you want the sequence to run from - enter nothing if it should be from the first contact with each company. You will be shown the ‘Print Settings’ and at this stage may Cancel the Printing, or continue by pressing [OK].

Address book

The address book option can be used as its name suggests, since it prints out the name, address, telephone and contacts of all selected companies with separate pages for each letter of the alphabet.

The report operates identically to View companies for the selection of companies by flexible criteria, and a list is displayed for ad hoc selection. Once the list is to your satisfaction, click [√] to accept it and go on to the printing stage. You will be shown the ‘Print Settings’. At this stage you may Cancel the Printing, or continue by pressing [OK]. Choose 100% Portrait format for a full A4 page, or reduce it to around 60% to use with FiloFaxes. After printing at 60% you will of course have to cut the edges off the paper.

List contacts

This menu option reports on all the details of selected contacts, printing name, Job Title, company name in a list of approximately 12 per A4 page. It operates identically to View contacts for the selection of contacts by flexible criteria, and a list is displayed for ad hoc selection. Once the list is to your satisfaction, click [√] to accept it and go on to the printing stage. You will be shown the ‘Print Settings’, and may Cancel the Printing, or continue by pressing [OK].
