Companies and the diary - using callback -

This is the tutorial you should look at after those in the Core Data manual. Please do read through those tutorials and the first chapter in the Core Functions manual before starting on any of the individual volumes. We are using the Diary Manager here to initiate a sales campaign. If your intention for the system isn’t sales related, don’t worry - we’re aiming to teach the basic skills, rather than necessarily a specific sequence of events.

If you’ve never sold before, the prospect of generating new business from nothing can be daunting. But you’ve got Enterprise 6 behind you to help and guide.

Enterprise 6 won’t tell you how to run your business. But it will help you tread sure-footedly if you let it work on your behalf.

Following a conversation with John Wilson of FastBurger, a phone call on Thursday to just confirm the deal you have signed would be a good idea. The Enterprise 6 diary can remind you to do this.

Use the ‘View Companies’ facility you learned about in the previous section to find FastBurger’s record, and bring up the Companies screen for them. On this screen, you can click the special Callback check box to get Enterprise 6 to remind you to contact John Wilson. You can only switch the Callback check box on once a responsible executive has been specified in the Sales field. (Note: if the ‘View Companies’ function does not find FastBurger, you may not have entered their details. If this is the case, do so now as an exercise, using the data supplied in the Companies & Contacts Tutorial chapter.)

When you finish with the record, click the [Accept] button (top-left of screen). The Diary screen appears.

In the box next to the words ‘Date Do/Done’ you will see today’s date (if your system clock is set correctly). There are two small arrows to the left of the date, one pointing up, the other pointing down. Click the upward pointing arrow once. The word Today at the top of the screen will change to Tomorrow, and the date will change.

Click the arrow a few more times, until ‘Next Thursday’s Diary’ appears in the screen title.

You can specify the exact time of the call, if you wish, by clicking the Time Do upward arrow key a few times (which will initially jump straight to 9:00 am), or by typing in the time.

Choose the Action field by clicking. This is a code entry (set up in the Data Manager). Use the @ look-up function to inspect the Actions available, and to choose Sales Call (CS). You can then type into the Description box a reminder of what you are calling about. There is enough space for several sentences in this space. Type something appropriate, like “Call to confirm new pie supply deal”.

Below the Action section there is a space to log the reply in the same way. You’ll do this later. Similarly, there is a space to record a Product in which the Company has shown an interest. Enter the Product Code of “PIEAPT001”. Check that Done is not checked (there should be no cross in the box). Click [Accept]

Enterprise 6 may present you with a blank screen, in case you wish to create any more Diary reminders, depending on whether Batch Entry is switched on. Just click [Cancel] (the cross on the Buttons Palette) to return to the main title screen if this happens.

This section was an example of just one way to use the Enterprise 6 diary - in conjunction with the Companies facilities. We shall now look at using the Diary in greater detail.
