The facilities described in this section use the EnquiryWriter companion volume to the Diary.
Enterprise 6 offers facilities to record an interest expressed by a prospect in a product or range of products.
If you are no longer in the Diary, choose ‘Enter to Diary’ from the Diary menu.
If you have the Diary screen in front of you, you are ready to receive an incoming enquiry from Jeremy Jackson of London Pride.
A quick way of recording his interest is to <Tab> down to the Contact Name box, and type:
“jackson”
As soon as you then hit <Return> or <Tab> to move to the next field, Enterprise 6 will respond by looking up Jeremy Jackson’s Company details.
Of course, you could equally well find his details by typing in “Jack”, or “Jeremy” or just “Jerem” - for example. If you have more than one Contact named Jackson on your database, or if you actually wanted to create a new Jackson - Enterprise 6 gives you facilities to handle selection from a list (which will appear automatically), or the creation of a new record (just type any unique element of the forename or surname).
In the Action Code box type: “ci” (Incoming Call), and in the Description box type “Enquiry for Fruit Pie ranges”. Now, you can register precisely the nature of the Enquiry by going straight from the Diary screen to the Enquiry screen. Again, the View menu will be used to link the two areas of the database.
Select ‘Enquiries, Qtns, Orders’ from the View menu.
If there are any existing enquiries already registered by this enquirer, you will be presented with a list.
At this stage, there is one existing enquiry for London Pride, so this will be listed. However, because of the integrated nature of Enterprise 6, you do not need to go elsewhere to create a record of the new Enquiry. Instead, simply click the [+] button on the palette to create it.
Note that the your initials are carried forward from the Diary to the Taken By field, but not to the Sales Person field on the Enquiry screen. This is because the usual sales executive in charge of London Pride’s account is placed there.
Remember, throughout this exercise, that <Tab> and <Return> are largely synonymous.
If you know part of the Product Code
Click the [+] button to create a new line in the list. In the first box of the Product Items x type “pie”. Hit <Tab> or <Return> (not <Enter>), and Enterprise 6 will offer you a list of the various Pie Products in the ‘Pie’ Product Group: Choose PIEAPT001 by clicking, or using the cursor keys followed by <Return>. Hit the <Tab> key and type “10” in the Qty box. To create a one-off Enquiry Item as free text
(for non-stock or one-off items) Click the [+] button again to create another new line in the Products x list. Press the <Tab> key once. Type “Apple Pie - Special” as the Product Name and press <Tab>. Press the <Tab> key again, and type “10” in the Qty box. Enterprise 6 knows nothing about this product, so you will need to enter a price in the Retail Price field. Type “14.95”. If you know the Product Name
(but don’t know the Product Code) Click the [+] button again to create another new line in the Products x list. Type “Small” and press <Tab>. Enterprise 6 presents a full-screen Product list, showing all the products whose Product Name starts with the word ‘small’. Click on FLNAPT001. Type “50” in the Qty box. If you know the Product Name contains a word
(but don’t know how it starts, or the Product Code) Click the [+] button again to create a further line in the Products x list. Type “@Apple@” and press <Tab>. The ‘Select a Product’ window appears again, this time listing all products whose name contains the letter combination ‘Apple’. Select FLNAPT002. Type “5” in the Qty box. See the notes on Searches in Getting Started for more information on searches ‘Containing’ a word. Quick Entering a list of Products into an Enquiry
The most powerful method offered by Enterprise 6 for the entry of Product information is through the ‘Add Product Items’ function on the Functions menu. This is the fastest method we have so far devised for product entry, and can be used for telesales work, when a series of different product items need to be entered in rapid succession. Using this method, you do not need to click the [+] button to create a new entry. Instead, simply select the ‘Add Product Items’ item on the Functions menu. Without typing anything, click [Find]: Enterprise 6 will offer you a list of all the products on the system. (You could equally choose a particular range of products by, for example, typing “Apple” in this dialogue to find all the Products starting with the word Apple). Hold the <Command> (Macintosh) or the <Control> (Windows) key down, and click the items you wish to select. Or shift-click a block selection. Or just ‘Select All’ (<Command-A>/) to select the lot. For this example, select PIEAPT003 and PIEAPT005. (Note: PIEAPT005 was a product you entered in the Products Tutorial. Do not worry if it does not appear in the list if you did not run through that chapter in detail.) When you have finished, click the [Accept] button on the Buttons Palette, or hit the <Enter> key. Enterprise 6 will ask you: Click [Yes], and the system will default to a quantity of 1 for each of the items you have selected. You have now registered a complex enquiry from the Diary screen for a number of Products from one of your customers. You have used several different methods to register your client’s interest in the products. Click [Accept] to return to the Diary and [Accept] again to return to the main screen.
