This section presents a series of tutorials - step-by-step explanations - that introduce the benefits the Enterprise Word Processor can bring to your work.
In order to perform the steps in this chapter, you will need to purchased and installed 4D Write with Enterprise and to have signed on as a WP user (for example, at the 'Administrator WP', 'Manager WP' or 'User WP' levels). You also need to have switched on the '4D Write is installed' Preference, which can be found in the General section. If you have not signed on as a WP user, you should quit Enterprise and reload it. It is not sufficient to use the 'Change Access' function on the File menu as this will not cause 4D Write to start up.
If you have not already done so, you should load the Tutorial data file when starting up Enterprise. To ensure that you have the correct data file loaded, hold down the
The Enterprise Word Processing module uses three terms with which you should become familiar—
Template
This is the basic model for your letters and documents. It will contain placeholders for the date, address, letter text, signature and other elements to ensure these always appear in the correct place. Tab stops and justification will have been inserted. Enterprise can make use of two templates: a letter template and a quotation template.
Document
This is the term given by Enterprise to a standard letter written without an addressee in mind. Documents can be used as part of a mailshot or sent to individuals on an ad hoc basis (for example, an introductory sales letter can be sent without modification following initial telephone contact).
Letter
This is the term given by Enterprise to a document with an addressee. In other words, it will be a one-off letter written for a specific purpose and may only be used once.
Note that the word processing area of the screen is not completely blank but contains a template. The Tutorial data file is supplied with a Letter Template and this is loaded automatically by the 'Enter Documents' function. This will ensure consistency of appearance of all letters produced using the Enterprise Word Processor. Full details concerning the modification of this template, which will be necessary to customise it to your own requirements, can be found in the Reference chapter entitled 'Enterprise Word Processor'.
†The Letter Template is a separate file which must be stored in the same desktop folder as Enterprise itself.
If for some reason it is not present in your Enterprise folder, the word processing area of the 'Enter Documents' screen will be completely blank. On the Macintosh, the file name should be 'Letter Template', on Windows machines it should be 'LetTem.4WR'.
The word processing area has its own menu bar which contains the functions necessary to control the word processor and to format your documents. It features a ruler which shows the location of margins, first line indentation and tab stops for the current paragraph; and a format bar which allows you to change text alignment and line spacing, define and apply style sheets, and create a header and footer. It also has its own scroll bar and zoom box.
First, enter a Document Code. This code will be used to access the letter from elsewhere in Enterprise.
The code can be 15 characters long. As the letter being created is Apple Pie's first promotional letter, enter "PROMO1" as the code.
