Introduction

Word Processor overview

The Enterprise Word Processor offers all the facilities expected of a fully featured word processing package with the added advantage of being contained within Enterprise. This enables documents of all types to be sent easily to the Companies and Contacts contained in your data file in a much more powerful and flexible fashion than is possible using the merge functions of traditional WP packages.

Full details of the interaction between the Enterprise Word Processor and the data contained in Enterprise can be found later in this chapter. This section of the chapter is concerned with the operation of the Word Processor itself.

The word processing engine used by Enterprise is provided by 4D Write. In order to make use of 4D Write's facilities as described in this manual, you need to have logged in to Enterprise as a word processing user (for example, at the 'Administrator WP', 'Manager WP' or 'User WP' levels) and you need to have switched on the '4D Write is installed' Preference, which can be found in the General section. If you have not signed on as a WP user, you should quit Enterprise and reload it. It is not sufficient to use the 'Change Access' function on the File menu as this will not cause 4D Write to start up.

If you do not have 4D Write, you can still create and print documents in Enterprise. However, you will only have limited ability to format the document as the letter text. For example, you can set the font for the document as a whole and you can insert Enterprise variables, but you cannot apply styles (bold, italic, etc) and you cannot alter the text alignment. Much of what follows refers to 4D Write. If you do not have 4D Write, it is recommended that you turn to the section entitled 'Enterprise and its Word Processor'.

In Enterprise, 4D Write is accessible using three functions, all found in the Word Processing module: 'Enter Letters', 'Enter Quotations' and 'Enter Documents'. The 'Enter Documents' function will mainly be used to create and save documents as templates for subsequent use.

Documents created using this function are initially independent of any addressee as they will mainly be sent using other functions such as 'Enter Letters', 'Enter Quotations' or the various 'Mail…' functions.

Such documents are saved in a dedicated documents file. 'Enter Letters' and 'Enter Quotations' are slightly different in that these functions operate on the Diary file. The only difference between the two is that 'Enter Letters' uses as its basic format a 'Letter Template', while 'Enter Quotations' uses a 'Quote Template'. Full details about the creation of these templates can be found later in this chapter. Accessing these functions in fact creates a Diary item in the name of the Company to whom the letter is to be sent and referring via the Document Code to the document. This document could be created as part of the function, or it could be a standard letter created by 'Enter Documents'. In the latter case, the letter could be customised with reference to its destination, leaving the standard template untouched.
